Getting Started with Zeitron: A Complete Guide

Learn how to set up Zeitron for your organization in under 30 minutes.

Setting up a new HR platform can feel daunting, but with Zeitron you can have your entire organization up and running in under 30 minutes. This guide walks you through every step, from creating your account to inviting your first team members.

Step 1: Create Your Organization Account

Head to the Zeitron dashboard and sign up with your company email address. We recommend using a shared admin account (such as hr@yourcompany.com) so that multiple administrators can manage the setup later. During registration, you will enter your company name, select your time zone, and choose your preferred language. Zeitron supports English and German. Additional languages are available on request.

Step 2: Configure Your Company Settings

Once your account is active, navigate to Settings > Organization. Here you can define your fiscal year, set standard working hours, and configure public holidays for your region. Zeitron ships with pre-loaded holiday calendars for Switzerland, Germany, Austria, France, Italy, Spain, and Portugal, but you can customize these to match your specific cantonal or regional requirements.

You should also set up your leave categories at this stage. By default, Zeitron includes vacation, sick leave, and personal days. You can add custom categories like parental leave, sabbatical, or training days depending on your company policies.

Step 3: Add Departments and Teams

Navigate to Organization > Departments to mirror your company structure. Create departments such as Engineering, Marketing, or Sales, and assign a department head to each one. Department heads automatically gain approval permissions for leave requests and timesheet reviews within their teams.

Step 4: Invite Your Employees

Go to People > Invite and upload a CSV file with your employee data, or add people individually. Each employee will receive a welcome email with instructions to set their password and complete their profile. Zeitron supports bulk imports with fields for name, email, department, role, start date, and employment percentage.

Step 5: Enable Time Tracking

Under Settings > Time Tracking, choose your preferred tracking method. Zeitron offers three modes: manual entry, timer-based tracking, and automatic project-based logging. For most teams, we recommend starting with timer-based tracking, which lets employees start and stop a clock directly from their dashboard or mobile app.

Step 6: Set Up Approval Workflows

Navigate to Settings > Workflows to define who approves timesheets and leave requests. You can configure single-step approvals (direct manager signs off) or multi-step chains for larger organizations that require both a team lead and HR review.
